Information we collect

Depending on how you use the website and our services, we may collect:

• your name, email address, telephone number and postal address;
• organisation and event-planning information;
• enquiry and correspondence details;
• order, delivery, payment-status and customer-service information relating to Challenge Packs;
• pin claim information, including the completed city and date, order reference, delivery confirmation and completion photographs;
• mailing-list preferences and consent records; and
• technical information such as device, browser, approximate location, pages visited and cookie choices, where permitted.

Payment-card details are handled by Stripe. We do not store full card details ourselves.

How and why we use information

• Enquiries and event planning: to respond, provide quotations and discuss services. We rely on steps taken at your request before a contract and our legitimate interest in operating our business.
• Orders and services: to process purchases, arrange delivery, provide support and fulfil our contract with you.
• Pin claims: to match a claim to an eligible order, review completion evidence and deliver the collectible city pin included with the Challenge Pack. We only use claim photographs for publicity when you separately choose to give permission.
• Records and compliance: to maintain financial, tax, safety and business records where required by law or necessary for our legitimate interests.
• Mailing list: to send news and offers where you have actively subscribed. You can unsubscribe at any time.
• Website analytics: to understand and improve website use, but only after you consent to optional analytics.
• Security and misuse prevention: to protect the website, users and our services, based on our legitimate interests and legal obligations.

Sharing information

We may share information only where necessary with service providers supporting website hosting, forms and email, payment processing, order fulfilment and delivery, mailing lists, analytics, professional advice and business administration. We may also disclose information where required by law. Providers must handle information securely and only for authorised purposes.

International transfers

Some future providers may process information outside the United Kingdom. Where this happens, we will use an approved safeguard, such as UK adequacy regulations or appropriate contractual protections.

How long we keep information

General website enquiries are normally retained for up to 24 months after the last meaningful contact. Order, contract, accounting and tax records may be kept for longer where required by law or to establish, exercise or defend legal claims. Unconfirmed mailing-list requests are normally removed after 30 days. Confirmed mailing-list information is kept until you unsubscribe or we determine it is no longer needed. We may retain a minimal suppression record so that we respect an opt-out.

Your rights

Depending on the circumstances, you may ask us to access, correct, erase, restrict or transfer your information, or object to its use. Where processing relies on consent, you may withdraw that consent at any time. Marketing can always be declined.

Children

This website is not directed at children. A parent, guardian or responsible organiser should provide information for a participant who cannot provide it lawfully themselves.
